Three attempts, then switch—the rhythm that actually works

A few days ago, I was designing a carousel for a client. Claude understood the concept instantly, but after three attempts, it kept generating one Canva page instead of six. Rather than fighting with it or spending another hour tweaking prompts, I tried something simple — I switched tools. Within minutes, I had exactly what I needed.

Success with AI isn’t about becoming an expert in one tool or staying loyal to your favourite platform. It’s about adaptability—knowing when to switch, and which tool to switch to. This approach has completely changed how I use AI, especially when navigating the complex tasks that scientists, researchers, and science communicators face daily.

My 3-chance rule

Every AI tool I use—ChatGPT, Claude, Gemini, or Perplexity—gets three solid chances to deliver what I need. This isn’t about impatience; it’s about recognising that time is the one resource no scientist can replicate in the lab. When daily usage limits start flashing warnings, when you’re consistently getting responses that miss the mark, or when you find yourself repeating the same prompt for the third time, that’s your signal to switch. This rule creates a rhythm that keeps you moving forward instead of wasting time debugging prompts.

Building Your Strategic Switching Hierarchy

Each AI platform brings something different to the table, and over time, I’ve learned to layer them like lasagna. For visual abstracts, I start with Gemini or NanoBanana for creative spark and concept sketches. When working on proposal strategies, Perplexity gives me fact-checked foundations with linked citations, Claude builds the empathetic narrative structure, and ChatGPT sharpens the logic and clarity.

This isn’t about chasing the newest or supposedly best model. It’s about building a system which works for you and gets the job done. Whether you’re crafting proposal narratives, creating science explainer visuals, or developing workshop content, this mix & match approach saves you a lot of frustrations and becomes your strategic advantage.

Documentation habit that multiplies your time

Here’s where the real productivity breakthrough happens: documentation. Switching efficiently only works when your you remember the system. Whenever I discover a prompt that performs beautifully—perhaps an outline generator for Horizon Europe proposals or a caption formula for science reels—I save it immediately in my own AI playbook. Copy, paste, continue. It takes 30 seconds but compounds into hours saved every week. Over time, that playbook evolves into your customised operating system for creativity, perfectly tuned to your specific needs and workflows.
